Our client is a leading law firm based in Southampton.  They are looking for a Facilities Assistant to assist the Facilities Manager and Facilities Supervisor, to support the Facilities operation, through the involvement with all associated tasks.  To ensure activities comply with the firm’s procedures and requirements, Health and Safety legislation, local and environmental regulations.  

Key Responsibilities:

These include but are not limited to:


  • Undertake all administration tasks such as post room, archive, reception and other associated tasks, ensuring agreed service levels and procedures are adhered to and positive interaction with internal and external contacts is achieved.
  • Assist Facilities Supervisor in managing contractors and suppliers, to ensure agreed standards are achieved and maintained and that work is carried out in line with health & safety as well as environmental requirements.
  • Ensure all contractor and supplier documentation is kept up to date as required.
  • Compile & Maintain data, records and reports as required by the department.
  • Assist Facilities Supervisor in ensuring compliance in all areas of Health & Safety, including First Aid & Fire.
  • Undertake key holding responsibilities and attending call outs when necessary.
  • Ensure all office equipment remains in good working order.
  • Liaise with inter office courier regarding service and any other related requirements.
  • The role will involve undertaking work in both offices out of normal office hours, including working four planned maintenance days per annum.
  • Please Note: This job role involves manual handling (training will be given as required).

Person Specification:


  • IOSH – Working Safely (Desirable)
  • Excellent administrative and organisational skills with excellent attention to detail
  • Strong knowledge of MS Office (Word and Excel)
  • GCSE pass English and Maths
