THE ROLE

The main roles and responsibilities of the Administrator will include:


  • Monitor inventory stock. This includes observing whether the appropriate items have arrived and determining what needs to be reordered. Must be aware of low supplies, so they can make purchase orders in advance of stock running out.
  • Prepare purchase orders and send the orders’ requests to suppliers. They also update records and follow up with vendors to check if the order is being processed.
  • Resolve order problems. Should issues arise with shipments or orders are incorrect or late, procurement administrators work with the supplier to resolve the issue.
  • Build strong relationships with key contacts within these supply companies, working with them closely to fix problems as quickly as possible.
  • Update files and records perform inventory and administrative tasks like preparing and forwarding invoices, updating databases, filing, and organising documents for accounts.
  • They also provide additional administrative support for team members as needed within the inventory and order management team.
  • Acquire quotations, delivery times and part number assistance from suppliers.
  • Ensure timely processing of supplier orders and the efficient resolution of queries.
  • Execute order placement.
  • Add notes to order lines.
  • Assist in investigation during stock take and audit periods.
  • Carry out assembly order processing function.
  • Provide delivery updates to the sales order and inventory team.
  • Issue shipping instructions for delivery of incoming orders.
  • Work closely with Logistics Company to ensure daily incoming shipments are received and booked into both the CPS system and the logistics company’s system with no errors or discrepancies.
  • Archive key order details, supporting paperwork such as emails, FOC and Warranty details such as to provide auditors with clarity on all issues.
  • Provide administrative support to the field-based sales force.
  • To ensure full participation in the performance development review process

The ideal Administrator will:


  • Demonstrable experience of purchasing ideally in a manufacturing environment.
  • Microsoft Office suite of products, Word, Outlook etc.
  • Excel Data Manipulation
  • Excellent communication skills
  • Previous systems experience working with MS Dynamics NAV
  • Fluency in a second language (French, Dutch, Spanish, Arabic, Russian, Mandarin)
