Description:
Our client based in Hook near Basingstoke is looking for a Facilities Assistant to proactively organise and be responsible for facilities within the Hook office and assist the Project Manager in maintaining high standards in line with company values.
Key Responsibilities & Critical Success Measures
• Arrange deliveries, assist couriers/contractors and distribute stationery or packaging in the office supply store to ensure streamline and quick processing of all
• Arrange meeting rooms in line with booking requirements and set up the rooms as required both before and after meetings
• Franking, weighing, packing and distributing post and courier items and ensuring shipments are sent using the DHL Easy Ship system with the correct paperwork, and track DHL items, ensuring they arrive at their destination in a timely and cost effective manner
• Assist reception/switchboard by covering during breaks to ensure the FDB reception is always manned
• Manage distribution of staff allocation in conjunction with Customer Services
• Oversee bottle displays in VIP areas ensuring stock is displayed correctly and displays are fully intact
• Oversee usage of bar area, manage bookings and ensure users are fully appraised of bar usage guidelines and that they adhere to them
• Assist Communications Manager with brand displays and updating of visuals around building
• Assist Project Manager in ensuring that all internal areas of the building are maintained including distributing consumables to tea point and reprographics area, checking general upkeep and replenishing items
• Liaise with suppliers/contractors to resolve faults promptly and to place new stock orders
Knowledge, Skills and Experience
• Experience of working in facilities/business support service environment
• Post room and/or reception experience ideal

Our client based in Basingstoke is looking for an professional, IT literate candidate with good attention to detail to join their facilities team 2 days per week.
Successful candidates should have at least one year's experience of working in a customer service or office environment, an ability to prioritise workload and be used to working under pressure. You will be able to communicate easily with people at all levels, have a professional approach and appearance and a good level of accuracy.
Key Responsibilities include:
To provide an effective and efficient facilities support service to clients and staff and to assist with the smooth running of the office.
Dealing with incoming/outgoing post and DX
Checking regularly and maintaining paper stocks in all printers, faxes and photocopiers and keeping print areas supplied and tidy.
Maintaining/ordering stationery requirements, liaising with senior facilities manager and facilities supervisor
Dealing with replenishment of stocks in all kitchens
When requires, taking documents/parcels by hand
Accurate copying/colouring/binding of documents/plans of some copying required to be completed in-house
Assist with off site storage deliveries
Assisting within the department or any other duties reasonably required, such as portering duties for reception.
To undertake any specific training when required to do so and overall to have a responsibility towards self development
